    The Senior CIF Documentation Specialist is responsible for validating and monitoring client information for new account openings, closings and account maintenance ensuring proper control and privacy of client information.  The specialist will review and update information on the deposit system and provide tracking and reporting to management related to compliance with the USA Patriot Act and other applicable federal regulations, state laws and internal policies and procedures. 

    The specialist will also perform daily activities related to deposit accounting and support the operations staff with daily processing and related project assignments.


    The specialist will provide support in the areas of:


    • Account documentation review including but not limited to DDA, SAV, CD and Trusts
    • CIP and TIN compliance
    • Dormant account monitoring
    • Ad-hoc reporting, including Abandoned Property, Returned Mail, and Documentation Exception
    • Excessive Transaction Processing
    • Supports the department management team on all bank operations related projects and CIF-related maintenance functions.
    • Beneficial Ownership review and monitoring


    • Responsibilities, Duties, and Accountabilities:


    • Reviews new account/new product documents for completeness and accuracy. Tracks exceptions to identification policy, TIN compliance and missing CIF information.
    • Daily account maintenance report detail review for accuracy.
    • Creates and distributes exception reports to relationship and business unit managers for follow-up within 30 days.
    • Tracks actions and responses to ensure that required information and/or documents are obtained. Reports accounts that must be closed to the relationship manager for action.
    • Ensures compliance with various IRS and state regulations. Creates and distributes management exception reports.
    • Works with management to coordinate the annual Abandoned Property Remittance.
    • Tracks returned mail, i.e. statements and loan payments
    • Responds to client service staff to on questions regarding required account documentation and CIF maintenance.
    • Reviews account maintenance reports to ensure compliance with Bank policy.
    • Scans and indexes all documentation for easy access.
    • Participation in projects Bank Operation-related projects
    • Direct communication with client service managers, representatives and relationship officers. Compliance with all Federal, State and local laws and Bank policies and procedures.

    • BS/BA preferred with a minimum of 3 years’ experience in financial services, preferably in a related function.
    • Familiarity with state and federal banking regulations.
    • Strong analytical skills and attention to detail.
    • Ability to communicate effectively, orally and in writing to all levels of responsibility.
    • Ability to self-motivate and juggle multiple assignments.
    • Proficiency in Microsoft Office, including Access.
